About the client
Kazakhstan Temir Zholy is the national railway operator of Kazakhstan and a participant in the Trans-Caspian International Transport Route.
The company is modernising its mainline network and fleet; in digitalisation it works with PSA, Huawei and Wabtec.
Challenges
- Branches and subsidiaries across the country — a paper document travels for days.
- Correspondence with government bodies and regulators requires digital signatures and connection to the state e-document exchange.
- HR processes for tens of thousands of employees, many working shifts and outside the office.
- Decisions of the parent company reached portfolio companies through a chain of forwarding, losing the approvals already passed.
How it works
The company runs on d8n: document types, routes and reference data are tailored to KTZ regulations, and development is not tied to the vendor’s release cycle.
The main result for the group is end-to-end processes: a KTZ resolution goes to the executor in a subsidiary with the approvals already passed, and execution is visible from one system.
Deployment went contour by contour: general document flow and government correspondence, then administrative documents, then the HR block and exchange with subsidiaries.
System scope
Results
- Over 23,000 users: about 20,000 in KTZ and about 3,000 in subsidiaries.
- Resolutions go to subsidiaries directly, with approvals attached.
- More than 11.6 million documents have passed through the system during its operation.
- Connected to the national exchange centre: correspondence with government bodies is electronic.
Who it is for
Relevant to national companies and holdings with tens of thousands of employees and branches nationwide. Where to start: measure how many days an administrative document takes to reach the last branch, and what proves acknowledgement.
Questions and answers
Can a holding and its subsidiaries share one document system?
Yes. In the KTZ group a resolution goes to the executor in a subsidiary directly, with the approvals already passed.
Can the system handle tens of thousands of users?
More than 23,000 people work in the KTZ system; over 11.6 million documents have passed through it.
Can a company develop the configuration on its own?
Yes. KTZ’s own IT service configures document types, routes and reference data.
Security and legal validity
- Certified under ST RK ISO/IEC 15408-3-2017, assurance level EAL 4 (No. KZ.7500186.05.01.69209, valid until 26 May 2029); a digital signature has the force of a handwritten one under the Law of Kazakhstan “On Electronic Documents and Digital Signatures”.
- Rights in the system equal the employee’s rights; operations are recorded in the audit log. Legally binding correspondence with government bodies goes through the national e-document exchange, with no paper duplicates. Data is processed and stored in the Republic of Kazakhstan.
